Detailed Steps for Student Transfer Procedures Between Colleges


1. Student Procedures at the Original College

  • Visit the original college to begin the transfer process.
  • Bring the following documents:
    • First-round exam results.
    • Civil Status ID or National ID, residence card, and university ID (both originals and copies).
    • Two recent personal photos.

2. Internal Procedures at the Original College

  • The student personally fills out two copies of the transfer application form.
  • Pay a fee of 2,000 IQD (individual receipt) to the college’s account.
  • Complete electronic evaluation through the Student Affairs Division and receive a code for the application.
  • Obtain signatures and stamps from the Head of Department for course equivalency (handled by the student).
  • Student Affairs Division prepares:
    • A letter of academic opinion.
    • A student academic record (study profile).
  • Submit original high school certificate and its copy to the Student Affairs Division.
  • The Student Affairs Division finalizes the transfer request, signed by:
    • The responsible staff member.
    • The division manager.
    • The assistant dean for student affairs.

3. Procedures at the New College

  • The student visits the Student Affairs Division at the new college.
  • The request is referred to the relevant academic department to decide whether to approve the transfer.
  • If approved, the student must:
    • Obtain an official “no-objection letter” for the transfer.
    • Ensure the “no objection” is also confirmed electronically by the new college.

4. Finalizing Procedures at the Original College

  • After receiving the no-objection letter, the student returns to the original college.
  • The student:
    • Completes clearance (براءة الذمة).
    • Returns the university ID.
  • The college issues:
    • An official transfer letter.
    • A drop notice (ترقين قيد), officially ending the student’s affiliation with the original college.
  • The student must report to the new college within one week of the transfer letter’s issuance.
  • The student’s academic file is sent to the new college via official mail by the Student Affairs Division.
